This policy explains how My Racing Office uses personal data. Contact us about it at hello@myracingoffice.co.uk.
If you’re an owner, club member or yard staff member
Your trainer decides what information about you is kept in My Racing Office and is responsible for it as the controller. We hold and process it on their behalf, only to provide the service to them. For anything about your information, including a copy of it or a correction, please contact your trainer first; we will help them respond.
When you use the owner app we also handle your sign-in details (your email and a securely scrambled password), the devices you turn notifications on for, and whether you want update emails.
If you’re a trainer with an account
For your own account we are the controller.
| What we keep | Why | Lawful basis |
|---|---|---|
| Your name, email, phone and business details | To run your account and contact you about it | Contract |
| Sign-in details and security records | To keep accounts secure and stop misuse | Legitimate interests |
| Billing details for our fees | To invoice you and keep accounts | Contract; legal obligation |
| Support emails and our support log | To help you | Legitimate interests |
Cookies and storage on your device
We use only what the service needs to work: a cookie that keeps you signed in, and small settings saved in your browser (for example, that you’ve hidden a tip). We don’t use advertising or tracking cookies, so we don’t ask for cookie consent.
Who we share data with
Only the providers that run the service for us (listed in Schedule 2 of our terms: Supabase, Vercel and Resend), and anyone the law requires. We never sell personal data or use it for marketing on anyone else’s behalf.
How long we keep it
Trainers’ data is kept while their account is open and deleted within 30 days of it closing. Invoicing records may be kept longer where tax law requires (normally six years, by the trainer). Security logs are kept for up to 12 months.
Your rights
You can ask for a copy of your data, a correction or deletion, and you can object to or restrict some uses of it. You can also complain to the Information Commissioner’s Office at ico.org.uk, though we’d appreciate the chance to put things right first.
Changes
We’ll update this page when things change and show the date of the latest version above.
